Who we are
ViewingFeedback is operated by ViewingFeedback Ltd. We provide a viewing feedback and vendor reporting tool for UK estate and letting agents. References to "we", "us", or "our" mean ViewingFeedback Ltd. Contact us at hello@viewingfeedback.com.
Data we collect
Agent accounts
When you sign up we collect your name, email address, and payment information (processed by Stripe — we never store card details). We also collect usage data to operate and improve the service.
Viewer feedback
By default, feedback submitted through ViewingFeedback forms is anonymous — no name, email, or contact information is collected from viewers. If an agent adds a custom question requesting contact details, any data submitted via that question is processed by the agent as data controller. ViewingFeedback acts as a data processor in that case.
How we use your data
- To provide, operate, and improve the ViewingFeedback service
- To process payments and manage your subscription
- To send transactional emails (account, billing) and, with your consent, product updates
- To comply with legal obligations
We do not sell your data to third parties. We do not use viewer feedback data for advertising.
Legal basis (UK GDPR)
We process agent account data under contract (to provide the service you signed up for) and legitimate interests (to operate and improve the service). Where we rely on consent (e.g. marketing emails), you can withdraw it at any time.
Data retention
We retain account data for as long as your account is active. If you close your account, we delete your data within 30 days, except where we are required to retain it for legal or financial compliance purposes.
Third-party services
We use the following sub-processors to operate the service: Stripe (payments), Heroku (hosting), and Datafast (privacy-friendly analytics). Each operates under its own privacy policy and data processing agreement.
Your rights
Under UK GDPR you have the right to access, correct, or delete your personal data; to restrict or object to processing; and to data portability. To exercise any of these rights, email hello@viewingfeedback.com. You also have the right to lodge a complaint with the ICO (ico.org.uk).
Cookies
We use a small number of functional cookies required to operate the service (session management, CSRF protection). We use Datafast for analytics, which does not use tracking cookies or collect personal data.
Changes to this policy
We may update this policy from time to time. Material changes will be notified to account holders by email. The "last updated" date at the top of this page will always reflect the most recent version.
